EVENT PLANNING

We are happy to assist you with planning every aspect of your event. There are many options and seemingly endless details associated with any party, and we sort through the hassle with effortless skill. No matter what the size of your affair, each customer is treated with special attention. Townsend Catering attributes its success to a commitment to quality service, creative menus, delicious freshly prepared foods and artistic style and presentation.

PLANNING YOUR MENU

We try to stay current on our website but new menu ideas are always being incorporated into our service. The menu is just a starting point; if there is something you don't see, just ask! Do you have a cherished family recipe? We would be happy to include it! We can create anything in any style from any cuisine in the world. Special requests can almost always be accommodated, including meals requiring special dietary consideration such as vegan, gluten-free, lactose intolerant or meals for young guests.

LOCATION AND EVENT SIZES

We are equipped to cater events of almost any size, although a minimum may apply to pricing (please see menu information). Our banquet hall facility, Templeton Hall , located in the heart of historic Cooperstown , NY, can seat up to 100 guests for meals, or more for cocktails and dancing. Templeton Hall is also available for events of all types or gatherings from business meetings to children's birthday and sweet sixteen parties. It is a great spot undefined for rehearsal dinners, pre-wedding gatherings or post-wedding brunches. Off-premise catering is also available at Cooperstown's other unique locations, whether it be a museum or your own backyard. Additional charges are added for delivery, staff travel time or truck rentals for events located more than 20 miles from Cooperstown.

STAFFING

Menu prices do not include charges for servers. Staffing for your event is charged at $16 per hour per server. Chefs and bartenders are charged at $22 per hour. Servers dress in black and white and wear our black and white striped or print aprons, but may dress otherwise if you prefer. Servers set tables, assist in building food displays, stations and buffets, serve food and beverages, tend to the needs of your guests, and tear down and clean up everything at the party's end. Staff is scheduled to arrive in ample time to have everything set before the arrival of guests. Gratuity is optional but much appreciated and should be given directly to the staff if you are completely satisfied with the service.

RENTALS

For off-premise events, our events planner is pleased to provide you with a complete list of rentals required for your party. Our planner, charged at an hourly rate, is also available to handle all aspects of rentals including collecting estimates, revising as necessary, creating a floor plan and a computer animated drawing of your event, and checking in the rentals when they arrive at the chosen location. Rental costs should be paid directly to the provider, and they most often do require credit card information to secure the reservation. There is an additional fee charged for rental items delivered and returned by Townsend Catering. Paper and plastic products in any color are also available for your party at a nominal charge. The Caterer includes all buffet and stations equipment and d?cor including candles, platters, chafing dishes, serving utensils, trays, baskets, cooking pots and pans, charcoal for grills, service trays, water pitchers, coffee carafes and bar equipment. Rental of some equipment including stoves, grills, propane burners, rolling racks, convection ovens and warming ovens may be necessary according to your menu, with those charges billed to the Host. The Host is responsible for any loss, breakage, or destruction of rental properties caused by the Host, guests, facility employees, service personnel or any unknown person.

INSURANCE AND PERMITS

Townsend Catering and Templeton Hall are fully insured. Bar services are also fully insured both on and off premise only if Townsend Catering provides the service. Townsend Catering is licensed by the New York State Department of Health and New York State Liquor Authority. Any fees associated with an additionally insured policy for off-premise events or off-premise liquor services are to be charged to the Host.

LEFTOVERS

Leftover food, flowers or decoration provided by Townsend Catering are the property of the caterer unless otherwise specified. Leftover food presented on buffets must be discarded after service as required by the New York State Department of Health.

DEPOSITS AND TERMS

A $500 deposit is required to secure the date for wedding receptions and large events of over fifty guests. The deposit is non-refundable if the event is cancelled. Minimum guaranteed guest count and a non-refundable deposit equal to one half the estimated bill is due one month prior to the event date. The final count may be increased but not decreased up to 48 hours prior to the event. A deposit is not necessary for smaller events. The balance is due immediately at the end of the event and is based on the contracted estimate. An additional bill or refund will be sent following the party.

Gratuity is included in the staffing charges, and any additional cash amount should be given directly to the staff if you wish to reward superior service. Prices listed on our website or in our brochure are subject to change, but you will receive a signed contract with agreed prices prior to the event. All services are subject to sales tax (Otsego County 8%) or as the sales tax for the given location dictates. Non-profit organizations must provide tax-exempt certificates in order to avoid added sales tax. Payment must be made by cash or check, and all major credit cards may be used online through PayPal, with additional processing charges added.
